Ordering Procedures
We are an extremely active raw food ordering group purchasing well in excess of 300,000 pounds of food a year. Due to this we are able to get bulk ordering discounts to help all our members save money on a variety of foods.
To participate and get the most out of the group, it is VERY important that you read ALL the following details. We try to keep our posts to a minimum so as not to clutter your inbox. Therefore, you’ll need to read the following information carefully.
Calendar of Orders
There are many products that we order on a regular basis. It is very easy to check the ordering schedule of those products by clicking on “Calendar” from the group’s Home Page on Yahoo. (Soon the calendar will be on this website.) Then you can either view the schedule by looking through each month or if you prefer a list, you can click “Events List.”
For each product we order, the following dates are listed:
Open – this is the date the database will open for orders to be placed.
Close – this is the date the database is scheduled to close. This is always an approximate date as things can change. For example, the vendor could tell us to stop allowing orders if we start exceeding their supply. ALL DATABASES CLOSE at 7PM unless stated otherwise.
One of the goals of this system is so that you can find out approximately when our regular orders will take place without sending posts to the list. If there is something you need to know that isn’t listed by all means ask. But please check the Calendar section and Database sections first.
Databases
All ordering will now be done on the website. You must be a current WAzzuOR Raw member to place an order. For information on becoming a member go to the Membership Information page.
Each order page, will include information on the closing date, payment due date, delivery date and product information.
Closing Date – this is the date the database is scheduled to close (meaning orders cannot be placed or changed after this point). ALL DATABASES CLOSE AT 7PM unless otherwise noted.
Payment Due – this is the date payment must be received by. Payments are done by a variety of different methods (see information on Order Payment Procedures). If you opt to pay by check, you will be responsible for any bounced check fees charged by the banks plus a $25 fee in addition to applicable late fees.
Delivery – this is the date the order is scheduled to be delivered.
Ordering
To place an order, go to Open Orders page..
Click on the order you are interested in. Then click the Place Order button.
You will put in your Member ID (You will receive your Member ID as soon as your membership forms have been submitted and your dues received) and the requested information. Please only enter a number in each field unless it specifically requests for you to specify information.
You MUST enter information in each required field. Your order may be deleted if you fail to supply ALL the required information in the correct format. You can edit all this information any time before the order closes.
(After a database closes, we export the information to another program and it saves us a lot of work if the order form is filled in correctly. So please do NOT use any punctuation marks in the database fields. It messes up the data transfer.)
When you click the Place Order button for each order, you will see specific instructions on how to enter your order.
This is all very easy, so don’t stress. Just look at the title of each field and enter the required information. Easy, done.
A couple things to note:
*the date and time you place your order is automatically recorded.
On each order page, in addition to the Place Order button you will see the database. After you place an order it will appear on this database in 1 to 2 minutes though you must go to another page and come back or refresh your page..
There is a scroll bar at the bottom of the database to move to the left or right. After you scroll to the right, an up and down scroll bar will appear. Or to move up or down within the database use the arrows on your keyboard.

General Database Guidelines:
- All orders must be paid for in advance. Any order not paid for by the designated due date will incur a late fee of $5 per day.
- Once a database closes, no changes may be made to your order and you may not delete/cancel your order. You are committed to pay for your order once the database closes. You may cancel or change your order up until the time the database is closed.
- After each database closes, the totals due are posted on our website under Order Details. Invoices are typically sent the following day.
- Since this is a volunteer group, everyone in the group is required to help from time to time, unless you have registered as a Non-Volunteer Member, when it is convenient for you. There are many ways to help. (See Volunteer Opportunities .) We will put out a call for help and if you can, great! If you can’t, not to worry….hopefully you can help the next time.
- Transport donations are happily accepted for all orders.
- At times, transport help may be needed from our delivery location to other areas. You don’t have to have ordered the product to help with the delivery. If you happen to be available to help out with a delivery, please do so as there may be some order you are involved in where you are unable to help with delivery and need to rely on the help of others.
- There are times when a delivery will bring product to an area where a number of people live in close proximity but one member may not be able to make it there that day to get their order. If you have room in your freezer to store an item for a day or a few days that is also a great help.
- If you place an order, it is very important that you stay in contact with the group when the delivery is being organized. We post a transport chart approximately one week prior to each transport. It is your responsibility to confirm your order at by 8am at least two days prior to delivery.
- Unless you are picking up the from the original delivery location and helping with the sort/label, there is a transport donation required at time of product payment to help get the product transported to your area. As a rule, we don’t do door to door deliveries regardless of membership type.
- If you are unable to pick up your order on delivery day, it is your responsibility to make arrangements for someone to hold your order for you. It’s easy to do and everyone is very helpful! Please don’t just expect that someone will hold your order for you. Most of us have a limited amount of freezer space and can’t always make room for your one hundred pounds of product. So please ask. We are happy to help if you ask.
- We do have a “group freezer” where we can store your order for you for later pick up or delivery. There is a small charge for this of .010/lb per week..
- If you or someone you have delegated to pick up your order does not pick it up at the agreed-upon designated time/place, you will forfeit your order with no refund.
- No orders are delivered if they haven’t been paid for in full. If an order hasn’t been paid for in full by delivery date, the order will come back to the group freezer. There is a $5 per day late fee plus freezer storage. So please, pay on time.
In order to place an order, you must be a WAzzuOR Raw member. To become a member you must fill out the online membership form.. See Membership under Member Information..
If you have any questions on membership, ordering, volunteering or payment, please ask as we are always willing to help.
